By completing a booking form or digitally signing the contract you agree to the following terms and conditions of hire. We recommend you print these out for your own records.
Payment of Services All bookings are subject to a deposit of £50 payable at the time of booking unless otherwise agreed in advance. The remaining balance is due 28 days before the event unless stated otherwise on the booking form or agreed in advance by Elite Photo Booths Yorkshire. By paying the deposit and accepting the booking contract you are partaking in a written contract to agree to pay the full amount of hire as stated on the contract. Any cancellations are subject to our cancellation policy (see below) and may still require the full hire payment to be paid.
Any change of date is subject to the availability of equipment on the alternative date and receipt of a new booking contract. If Elite Photo Booths Yorkshire have no availability on your amended date you’re booking will be cancelled in line with our cancellation policy.
Cancellation The cancellation term's are as follows . 8 weeks plus non refundable deposit . 6 to 8
weeks before 50% of full payment . 4 to 6 weeks before 75% of full payment . 4 weeks and below 100% of booking payment is due . Cancellation needs to be made in writing or by email (eliteboothsyorkshire@gmail.com) and not verbal.
It is your responsibility to ensure that all address details of the venue provided to Elite Photo Booths Yorkshire. are correct including a full postcode. Elite Photo Booths Yorkshire cannot be held responsible for any errors or delays resulting from incorrect or incomplete address details.
It is your responsibility to ensure that there is access for us to unload and load at the venue.
Elite Photo Booths Yorkshire cannot be held responsible for any circumstances that may prevent us from attending your event, these may include but are not limited to severe weather conditions, traffic delays, breakdown of our vehicles, sickness or equipment failure. In the case that we cannot attend or fulfil your hire due to events beyond our control we will contact you or the venue as soon as possible. In these instances our liability will be limited to the refunding all of monies paid.
It is your responsibility to ensure that the venue has agreed for Elite Photo Booths Yorkshire to be in attendance at their venue at the agreed time. This also includes ensuring that there is access to enter the venue and enough space with a power socket in close proximity of where the services are to be situated (within 5 m ). If there is insufficient space for Elite Photo Booths Yorkshire to set up you will still be charged the full hire amount. It is your responsibility to inform us of any circumstances that may make setting up take longer, these may include going upstairs, a long distance from unloading area to set-up area etc. If we are not aware of these and the set-up takes longer than usual your hire period may be used as part of the set-up period.
Elite Photo Booths Yorkshire will arrive to set up between 60 and 90 minutes before the agreed time depending on what service has been hired. The hire period will commence from the agreed time as per the booking form and finish at the agreed time. In the event that Elite Photo Booths Yorkshire is not ready to commence at the agreed time due to our fault we will still give you the agreed hire period by extending the finishing time of the hire. In the event that the hire does not start at the agreed time as setup has been delayed due to either the venue not allowing access on time or your events are over running the hire will still end as per the agreed time on booking form. In the event that we have set up in time but the hire does not start at the agreed time due to over running
of previous activities by yourselves or venue the hire will still end as per the agreed time on booking form.
Elite Photo Booths Yorkshire will not tolerate any abuse or threatening behaviour to our staff. If this does occur Elite Photo Booths Yorkshire reserve the right to terminate the hire. We are providing a service to yourselves and guests and therefore feel that our staff should be treated with respect.
Elite Photo Booths Yorkshire are also within their right to terminate a hire if they feel that any equipment or property belonging to Elite Photo Booths Yorkshire is at risk of damaged or has been damaged due to unruly behaviour from guests. We also reserve the right to refuse guests to participate in the activities should we feel they are too unruly or too intoxicated.
In any instances where we feel there is a need to terminate the hire we will always speak with you the booker first to try and resolve the matter before terminating. If we do have to terminate the hire due to reasons stated above, the full cost of hire is still payable and we will not issue any refunds for hire time that has been cut short.
If for any reason our equipment is damaged during the hire period by one of your guests you will be responsible for the cost of repairing/replacing the part. If any equipment does gets damaged and this affects the services the hire will be terminated as per termination section above.
Children aged less than 10 years are to be supervised at all times by an adult aged 16 years or older when using any of our services. We reserve the right to not allow children to use our services where they not accompanied and under the control of a responsible adult or if we feel they are hampering the enjoyment of our services for other guests.
By booking us for your event you are of the understanding that we may use any of the photographs/videos taken during the interactive services of yourselves and your guests for any suitable means, this includes but is not limited to advertising and promotional material either in print or online. By us attending your event we are of the understanding that permission has been granted to do so by yourselves and your guests.
The Elite Photo Booths Yorkshire Photo Booths are PAT tested covered by public liability insurance.
We require a flat level indoor space 2.45m (8 feet) wide x 1.25m (4 feet) deep x 2.2m (7 feet) high and safe access to a standard 13 amp socket within 5m.
Elite Photo Booths Yorkshire Photo Booths are for indoor use only, unless discussed with us before hire and must be on a completely flat & level surface. Our photo booths may be located within a marquee, but will still require a completely flat & level surface and safe access to a standard 13 amp socket within 5m.
Elite Photo Booths Yorkshire agrees to have a Photo Booth operational for a minimum of 80% during the hire period. Occasionally operations may need to be interrupted for maintenance of the Photo Booth. If so any maintenance will be performed as quickly as possible so as not to affect the smooth running of the event.
If the Elite Photo Booths Yorkshire Photo Booth is out of use due to technical difficulties, we shall refund you the amount of time that the booth is not in operation and in proportion to the amount paid for the hire period.
If suitable maintenance cannot be performed on site our liability will be limited to the refunding all of monies paid. If printer breaks down and is out of our control . Photo's will still continue to be taken and photographs will be printed the following day to be forwarded to the hirer
Miscellaneous - If any provision of these terms shall be unlawful, void, or for any reason unenforceable under contract law, then that provision, or portion thereof, shall be deemed separate from the rest of this contract and shall not affect the validity and enforceability of any remaining provisions, or portions thereof.
This is the entire agreement between the Provider (Elite Photo Booths Yorkshire) and the Customer relating to the subject matter herein and shall not be modified except as agreed in writing by both parties.
